To generally serve the Company as a Receptionist, the prime role of the receptionist is to provide direct support to the principals and fee earning staff to enable them to operate at optimum efficiency. This will include but will not be limited to the main responsibilities given below. The receptionist is expected to use a high degree of self-management and initiative.

Overview

1) On arrival to the office at 9.00am, ensure the reception area is tidy and presentable.

2) Shutters to the office will be put up by remote control for 9.00am each morning.

3) Ensure the tidiness of the reception area throughout the day.

4) Process all incoming telephone calls without delay.

5)The effective processing of all incoming telephone call including the logging of calls and the conveying of messages.

6) Receive and process all clients and other visitors to the firm in a helpful, friendly and professional manner.

7) In both of the above respects, there is a high degree of responsibility to project the image and ethos of the firm at all times.

8) Administer filing which will include daily filing and opening, closing, archiving assistance, storage and retrieval and

destruction of client files in accordance with the detailed procedures contained in the office manual.

9) Prepare mail and enclosures for dispatch.

10) Arrange for all copying to be done, in person if the office assistant is not available to undertake the task.

11) Make appointments, arrange meetings and to maintain an up-to-date diary for the principals and fee earning staff.

12) Prepare the conference room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.

13) Provide refreshments when asked to do so.

14) Provide guidance to junior and temporary secretaries when required to do so

15) Attend clients both in person and on the telephone and to provide such supporting a professional and friendly manner in keeping with the firm’s standards of client care.

16) Undertake any specific training when required to do so and overall to have a responsibility towards self-development.

17) Ensure the confidentiality of all the firm’s and client documentation and information.

18) To maintain good channels of communication and efficient working relationships with colleagues and staff allocated to work with you.

19) To further ensure that all matters are conducted in accordance with financial and accounting requirements under the Practice Manual/professional regulation.

20) To respond promptly and satisfactorily to all professional enquiries made by professional indemnity insurers, the Legal Ombudsman Service, the Law Society or the Solicitors Regulation Authority.

21) To respond promptly and professional to all client’s complaints and concerns and to report these in accordance with the Practice Manual
